About the Role
We’re looking for an Executive Assistant to provide high-level support to our CEO, Felix, and key stakeholders. You will be the backbone of our executive operations, ensuring that leadership can focus on scaling InPlanet while you manage the complexity of their daily lives with agility, trust, and extreme discretion.
You'll be the kind of person who is a natural problem-solver, highly organized, and comfortable connecting the dots in a fast-paced environment—always maintaining the highest standards of discretion while handling sensitive information and founder-level matters with absolute trust. You'll act as a true partner, managing priorities and communication to ensure our founders stay effective and focused on our mission.

Your work will directly increase the effectiveness of our CEO and leadership team. By bringing clarity to communication, structure to priorities, and ownership to execution, you enable faster and better decision-making across the company.
You won’t just manage tasks: you will own outcomes, ensuring that priorities move forward and nothing falls through the cracks.
Core working relationships
- Felix (CEO) – direct report and primary priority for support
- Key stakeholders (CFO, COO, co-founder) – occasional support for meetings, travel, and specific demands
- External Partners – coordinating with notaries, providers, and global contacts
Key Responsibilities
- Structure and manage complex calendars and meetings, prioritizing urgencies and ensuring a smooth schedule
- Manage executive inboxes, including reading, drafting answers, and prioritizing threads and forwards
- Provide support for personal agenda and private administrative tasks as needed to optimize the CEO's time
- Join meetings to collect insights, document action items, and provide clear summaries
- Lead certain initiatives from start to finish, such as scheduling notary dates and ensuring document readiness
- Conduct research on specific topics and prepare detailed reports to support business decision-making
- Organize end-to-end travel arrangements for the CEO and support other founders (COO/CFO) when required
- Track deadlines and follow up on action items independently, ensuring tasks are completed on time
- Maintain the highest standards of confidentiality and discretion when handling sensitive information
- Identify and lead improvements in administrative processes to make them more efficient and scalable
You can be a Rock-Star if you have
- Proven experience as an Executive Assistant or in a high-level coordination role
- Bachelor’s degree in Business Administration or a related field
- Advanced English and Portuguese communication skills
- Strong ability to manage multiple priorities and complex schedules
- Experience handling executive communication and correspondence
- High level of autonomy and decision-making in ambiguous environments
- Based in the Campinas / São Paulo regionwith availability for hybrid work:
- 2 days/week with Felix in Valinhos
- Travels to Piracicaba
- Highly organized and naturally enjoys structuring, prioritizing, and bringing clarity
- Detail-oriented and outcome-focused: you don’t just start tasks, you finish them
- Proactive and independent, with confidence to move forward without constant approvals
- Strong communication skills, both written and verbal
- Able to connect the dots quickly and understand business context
- Discreet and trustworthy when handling sensitive information
- Driven, curious, and motivated to operate at a high level
- Experience in fast-paced startups or international environments
- Previous experience in climate tech, sustainability, or AgTech settings
- Exposure to legal/financial processes (contracts, notaries, documentation)
- Strong experience with research, synthesis, and executive-level reporting

At InPlanet, our philosophy revolves around ensuring fair and unbiased compensation and equitable equity pay, coupled with competitive benefits, across all regions where we operate.
The reason behind our salary range being wide or undefined at the first stages of the interview is because of our international presence and globally distributed workforce, we utilize geo ranges to account for varying pay differentials, forming a crucial part of our global compensation strategy to remain competitive across diverse markets as we expand our reach.
These ranges are determined by role, level, and location, recognizing the nuanced demands of each market. The actual base pay for the selected candidate is influenced by factors such as location, skills, experience, training, business requirements, and market dynamics, with the range subject to potential adjustments in alignment with our commitment to fairness and transparency.
